Data archives are copies of data, be it active or inactive, taken from online storage, copied and put in offline storage. There are many reasons for doing this. Some organizations are required to do this and must keep the data for a period of time. Usually arranged by date, the data can be accessed at any time. Some companies particularly government agencies are required to archive data in the event of the need to use it for a litigation or for historical purposes.

The internet is rapidly expanding and with the use of e-bills and online banking there is a need for more and more storage. To make room for the new information that is growing daily we have to archive the older. Banks and hospitals, schools, universities, government agencies, and historical societies have so much data it would be impossible to store all of it on their computers. With the threat of natural disasters record keeping in a more safe and secure place has become of the utmost importance.

Fire, floods, human error, hackers, and computer crashes all would spell disaster for many businesses, organizations, and companies. Removing older information from computer files frees up more space for daily input and can dramatically improve operating systems without the need for expensive upgrades. One good example of this is law enforcement. If they did not archive older records of offenders there would be a great need for upgrades to handle the influx of present people arrested. Not to mention the problems it would cause to keep tabs on current offenders on probation or parole without wading through thousands of past arrests and incarcerations.

Archiving would be an option for personal computer users if you do your taxes online, receive and pay your bills online, or most any other business that you conduct online. As we all know tax records are supposed to be kept for 7 years in the event of an audit. If you use your computer daily or frequently for any of these reasons archiving your data will free up space on your personal computer and it will work more efficiently and not require constant upgrading. Unlike storing your information on copied Cds or DVDs, this information is kept in a secure place and when you need it you can pull it up as easily as pulling it up on your computer.

There are several companies that do data archiving. While they all do basically the same thing the prices can vary so it is best to shop around and find the company that best suits your needs.
